What we're looking for:
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities, with the capacity to adapt to changing priorities.
- Discretion and confidentiality when handling sensitive information.
- Proficiency in Latvian and English languages.
- Ability to work daily from the office.
- A positive attitude, willingness to learn, and a proactive, "can-do" mindset.
- We care about your attitude way more than years on a resume. Experience is a bonus, but we'll teach you what you need to know.
What you'll do:
- Assist the Office Manager with various administrative tasks, including drafting and updating presentations, utilizing AI tools, and preparing interactive materials (e.g., Kahoots).
- Maintain organized filing systems (digital and physical) to ensure efficient record keeping and easy access to important documents.
- Schedule and coordinate meetings, conferences, and appointments for the Office Manager and team members.
- Provide general administrative assistance to staff, including troubleshooting minor office equipment issues and responding to inquiries.
- Order and maintain office supplies, including food, water, and other essentials, ensuring a well-stocked and comfortable workspace.
- Organize and optimize warehouse space, tracking and managing inventory.
- Assist in onboarding new employees, including workstation setup and resource provision.
- Assist the Office Manager in planning and executing office events, including setting up decorations, organizing refreshments, and managing logistics.
- Host office functions and warmly welcome guests, creating a positive and professional atmosphere.
- Handle smaller, yet important tasks in assisting colleagues to excel in their daily tasks.
